Data privacy is the protection of personal data. Arup is committed to protecting the personal data we hold about our staff, clients and others. Our core data privacy values are contained in the Privacy Statement.

What information do we collect?

We collect the following data provided to us at the time you create an account on ext-moodle.arup.com including:

  • Name
  • Email address
  • Country where you are based (where applicable)
  • School (for Arup Design Programme only)
  • Company or Organisation (where applicable)

We also collect data about your activity on the site, including user logs, any documents you submit and any contributions made e.g. to discussion forums.

 

Why do we collect your information and what do we do with it?

We collect and use your personal data so we can deliver our contractual obligations to you as a user of Moodle by providing you with access to the Moodle platform including courses, accompanying resources and activities such as online assignment submissions, questionnaires and discussion forums.

We will use your personal data for the following purposes:

  • To create an account on this site and provide access to information held on the site
  • To enable you to contribute content e.g. submitting assignments and posting on discussion forums
  • To control access to different parts of the system
  • For system administration and provision of helpdesk support to users
  • To report on course, activity and resource access and completion and on course data such as grades, submissions and content uploaded

 

Who has access to your information on Moodle?

Your information will be accessible to the Arup University Systems Team for the purpose of site administration and to provide help and support for users. Other people may access your information as follows:

  • Arup IT staff members in order to provide first-line support and for management of the Moodle database
  • Arup Learning and Development or Project team(s) to administer courses and manage content
  • Tutors/trainers associated with specific courses to enable interaction with participants and access to assignments e.g. for grading purposes.

 

Who your information is shared with

Your information may be shared with other individuals in Arup for reporting and auditing purposes, for example to enable compliance reporting for mandatory training.

For courses in collaboration with external organisations e.g. Masters Modules, your information, including any documents you submit, may be shared with the external organisation, including with external course trainers.

Arup Design Programme your personal data will not be shared with anyone outside of the programme and removed inline with the Data retention policy below.

 

Data retention

Your personal data is stored as long as your account is active. We take all reasonable steps to retain personal information only for the period necessary to fulfil the purposes outlined in this policy.

All participant accounts are deactivated 3 months after the end of the course, and data will be deleted within 6 months of this date.

Arup Design Programme participant accounts are deactivated 2 weeks after the end of the programme, and data will be deleted within 1 month of this date.

 

Your Rights

You have the right to access the personal information that is held about you by Arup. If you wish to request a copy of this information please email privacy@arup.com including ‘Ext Moodle’ and the name of the course(s) you have access to in the subject line.

You also have the right to ask us to correct any inaccurate personal information we hold about you, to delete personal information, or otherwise restrict our processing, or to object to processing or to receive an electronic copy of the personal information you provided to us.
